Dental Office Coordinator
Balanced Dental Studio
Lakewood, CO
$25 - $30/hour DOE
Full time: 36 – 40 hours/wk. OR Part time

Our whole health centered dental practice located in Lakewood has an immediate need for a dynamic and motivated Office Coordinator to provide world-class customer service to our patients and provide superior administrative support to our Balanced Dental Studio clinical team. This unique hybrid role is ideal for someone who thrives on multitasking and authentically connecting with patients.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Treatment Coordination
• Present and explain treatment plans confidently, addressing questions about procedures, financial options, and timelines.
• Review financing, insurance benefits, pre-authorizations, and payment plans with patients.
• Track pending treatment and follow up regularly via phone, text, or email.
• Maintain treatment acceptance and Invisalign tracking spreadsheets.
• Collaborate with clinical and ortho teams via Trello and daily communication.
• Upload and document records, x-rays, and treatment notes in Dentrix/Dexis to ensure continuity of care.
Clinical Liaison and Schedule Management
• Proactively fill hygiene schedule openings and manage patient recall/reactivation systems.
• Review hygiene charts, notes, and procedures to prepare for patient visits.
• Support hygiene checkouts by communicating pending treatment and transitioning plans to appropriate departments.
• Ensure all hygiene patients are scheduled for their next visit before leaving.
Administration Duties
• Greet and check-in patients warmly while confirming health histories and assisting with paperwork or tech needs.
• Check-out patients efficiently, ensuring all questions are answered and follow-up is scheduled.
• Manage incoming calls, messages, and Weave/text/email communication with professionalism.
• Schedule new and existing patient appointments according to templates and confirm new patient readiness prior to visits.
• Support cleanliness and organization of the front desk and reception areas.
General Responsibilities
• Participate in daily huddles—take notes and relay action items to the team.
• Communicate schedule updates and patient concerns using Blue Note, Weave, or in-person conversations.
• Step in to support team members with phones, messages, scheduling, or other backup needs.
• Surprise and delight patients—your positive personality is part of their experience!
• Answer and route calls; take messages.
KNOWLEDGE, SKILLS AND ABILITIES:
• Exceptional customer service and communication skills (written and verbal).
• Knowledge of dental terminology and insurance basics (preventative, minor, major).
• Familiarity with Dentrix, Dexis, Invisalign, and/or Active Campaign is a plus.
• Self-motivated, organized, and solutions-oriented in a fast-paced, health-focused environment.
• Team-oriented and adaptable—willing to step in wherever needed to support patient care and whole-body wellness.
EDUCATION AND EXPERIENCE:
• High School Diploma or Associates (preferred)
• 2+ years of applicable dental office experience required.
