Medical Office Manager

POSITION SUMMARY:

We are seeking an experienced and dependable Medical Office Manager to oversee the daily operations of a Medical Outpatient Practice based in Connecticut. This role reports directly to the Medical Director. The ideal candidate will ensure the seamless operation of the office, manage front desk activities, and support an exceptional patient experience.

Key Responsibilities:

• Open the office daily by 7:00 AM to accommodate patients who prefer early appointments.
• Coordinate care for various outpatient procedures.
• Manage front desk operations and supervise the front desk staff.
• Schedule patients for all appointments, as well as coordinating doctors’ schedules so they are prepared for all procedures and consultations.
• Collaborate closely with the Medical Director to ensure smooth day-to-day office workflows.
• Sign all cycle consents with patients.
• Make sure the front desk verifies that all patients complete the IVG checklist before their procedures.
• Confirm protocol instructions have been prepared and sent to patients.
• Provide patient education on protocol and medications.
• Confirm that medications have been called in or prescriptions have been given to the patient.
• Respond to patients’ emails in a timely manner.
• Work with the finance coordinator on any changes in protocol or cycle status.
• Monitor and manage office supplies and inventory.
• Oversee vendor relationships, including cleaning services and laundry services.
• Serve as the liaison with laboratory services; while labs handle their own ordering, this role coordinates communication and logistics.
• Ensure the office maintains a welcoming and professional environment for patients and staff.

Requirements:

• Healthcare experience is required; prior experience in a medical office or clinical setting is essential.
• Demonstrated ability to manage and supervise staff.
• Strong organizational and communication skills.
• Ability to work independently and proactively manage office operations.
• Must be an early riser, as the practice opens at 7:00 AM.

Qualifications:

• Bachelor’s degree in biology, Anatomy & Physiology, or other related sciences
• 2+ years of experience in a clinical setting
• Strong communication skills
• Proficiency in MS Word, Excel, Outlook, and medical database software
