We are seeking a highly organized, proactive, and trustworthy Personal Assistant to support the owner of a growing small business. This role involves a blend of administrative, operational, and personal support tasks to ensure the business owner’s time is optimized and daily operations run smoothly.
Key Responsibilities:
Administrative Support:
Manage calendar, appointments, and travel arrangements
Draft and manage emails, correspondence, and reports
Schedule meetings and prepare agendas, minutes, and follow-ups
Assist in creating presentations, proposals, and spreadsheets
Maintain filing systems, both digital and physical
Business Operations:
Track project deadlines, deliverables, and follow-ups
Liaise with vendors, clients, and service providers
Conduct basic research and prepare summaries
Manage orders, invoices, and expense reporting
Provide support in HR-related tasks such as scheduling interviews or onboarding materials
Personal Assistance:
Run errands (in-person or online) as needed
Coordinate personal appointments and family logistics
Handle occasional personal finance tasks or reminders
Manage household service scheduling (e.g. cleaners, maintenance, deliveries)
Qualifications:
Proven experience as a personal assistant, executive assistant, or in a similar role
Strong organizational and time management skills
Excellent verbal and written communication skills
High level of discretion, confidentiality, and professionalism
Tech-savvy: proficient with Google Workspace, Microsoft Office, and productivity tools (e.g., Slack, Trello, Notion)
Ability to multitask and adapt in a fast-paced, evolving environment
Reliable transportation (if in-person tasks required)
Preferred:
Previous experience in a small business or startup environment
Knowledge of bookkeeping, social media management, or basic marketing tools
Familiarity with CRM systems and online scheduling tools
