POSITION DETAILS

Job Title : Medical Office Manager Status : This is a full-time, year-round, benefits eligible position. Classification : Exempt - Salary Schedule : M-F Location : This position is primarily based at our Avon location with some travel required to our clinic locations. MEDICAL OFFICE MANAGER OVERVIEW

We are looking for a highly organized and detail-oriented Medical Office Manager to lead the daily operations of our non-clinical medical office. The ideal candidate will be responsible for ensuring smooth office operations, managing and mentoring staff, and fostering a culture of excellence in customer service. This role involves supervising key departments including PBX, Scheduling, and Medical Records, ensuring efficiency, accuracy, and a positive patient experience. The Medical Office Manager must be an effective leader with excellent communication skills, capable of managing multiple tasks and departments. A strong focus on staff development, operational excellence, and maintaining a supportive and positive work environment is essential.

CORE RESPONSIBILITIES

Oversee the daily operations of the medical office, ensuring efficiency, compliance with regulations, and optimal patient satisfaction. Lead, and manage staff across PBX, Scheduling, and Medical Records, including hiring, training, and conducting performance evaluations. Develop, implement, and maintain office policies and procedures to enhance workflow and support a positive, collaborative work environment. Coordinate patient scheduling, billing, insurance verification, and medical records to ensure smooth office operations. Establish and monitor performance metrics to ensure exceptional customer service and departmental efficiency. Ensure the office is well-stocked with necessary supplies and equipment. Organize regular staff meetings to promote communication, feedback, and continuous improvement. Ensure compliance with HIPAA regulations, confidentiality requirements, and all relevant healthcare standards. Requirements MINIMUM QUALIFICATIONS Bachelor's degree in Business Administration or Healthcare Administration, or a related field preferred 3-5 years' experience in a medical office management or supervisory role required Exceptional communication and interpersonal abilities. Highly effective project management skills High level of customer service orientation Advanced knowledge of Microsoft Office Suite and data collection software Excellent leadership and team management skills. Proven ability to successfully handle multiple projects Ability to handle sensitive information with discretion and professionalism.
